Following is logistical information to start your planning
for the U.S. JGOFS Synthesis and Modeling Project Principal Investigator
Workshop here in Woods Hole July 12-15, 2004. The meeting will be held in room 507
in the Clark Building on the Quissett Campus of Woods Hole Oceanographic
Institution starting at 8:30 am on July 12 and ending at 5:00 p.m. on July 15.
We are under very tight budget constraints for this last
“extra” meeting and are trying to stretch our resources as much as possible. We
are able to have this meeting because we were able to save on the other SMP-PI meetings
having them here at WHOI where we don't have a lot of extra expenses as at
other conference centers.
We will be able to cover your 4 nights in the hotel and the
breakfasts, lunches, reception, and clambake planned for the meeting. In
addition in support of your other travel costs, e.g., flight, rental car, meal
per diem for meals we don't provide, tips for skycaps and maids, etc., the following
amounts are available depending on the distance traveled:
Within driving distance: up to $200
East coast and Texas air travel: up to $400
West coast flights: up to $900
Hawaii: up to $1100

Poster abstracts are due to me by July 1. Most of the poster
boards available for the meeting allow a 3´W x 4´H poster. There is also limited
space for larger posters on the walls.
Lodging will be in 3 hotels:
The Nautilus Motor Inn, Woods Hole, ~2 miles from the meeting site
The Sands of Time Motor Inn, Woods Hole, ~ 2 miles from the
meeting
site.
The Ramada Inn at Falmouth Square, ~3 miles from the meeting
site
The bus from the airport has stops close to each of these
hotels so you really don't need a rental car. A shuttle circulates around the
WHOI buildings with a stop close to the 2 Woods Hole motels. I will leave copies
of the schedule at the motels, or I can send you a copy upon request. Also the
Woods Hole motels are a beautiful 30-minute walk to the meeting site along a
bike path near the water. For meals there are 6 restaurants right in Woods
Hole.
I will keep the “lodging list” so please make your room
reservation as soon as possible with me by e-mail or phone (by June 11 at the
latest). We will pay for your hotel directly, other than incidental expenses.
Boston's Logan Airport is the closest airport with the most
flights. Providence Airport is also convenient although with less convenient
bus service to Woods Hole. Flying into Hyannis Airport is also a possibility but
more of a hassle than I think it's worth. I encourage you to use Preferred
Travel at 1-888-woods-14 or 1-888-966-3714 if you would like your ticket to be
prepaid by our office. On the other hand you may do better on the Internet.
U.S. flag carriers must be used. Please make your air reservation by June 11
and copy me on your itinerary. Preferred can also arrange rental cars. We will
reimburse your other travel expenses via a travel expense voucher that we will
give out at the meeting.
We have a good bus service from Logan Airport to Falmouth

Please let me know if you are going to drive so I can send you a parking permit and also if you would be willing to transport others from the hotel to meeting site and back so I can organize carpools.
Corner Cycle is a local shop for bike rentals ($80 per
week). Let me know if you are interested and I can make a reservation for you.
Anyone who has special dietary requirements should let me
know.
For other meals that we do not provide the per diem rates
are:
Breakfast- $8
Lunch- $12
Dinner- $25
Mileage will be reimbursed at the rate of 37.5 cents per
mile.
